Information you provide
The contact form collects your email address, enquiry type, message and acknowledgement of the data-use notice. Depending on the enquiry, it also requests organization, country, standard or business requirement, activities, certificate or decision details. Name, estimates and dates are optional where indicated. Fields that do not apply to the selected enquiry are excluded from the saved record. The initial form does not accept attachments or require a telephone number.
Email correspondence may include the information and documents you choose to send. Provide only what is necessary and request an appropriate way to share sensitive evidence before sending it.
Why the information is used
EQRM uses these details to understand and respond to requests, review proposed certification requirements, handle certificate queries, complaints or appeals, and maintain a record of the correspondence. Submitting an enquiry does not subscribe you to marketing.
Where data-protection law requires a lawful basis, handling a requested quotation or engagement may involve steps at your request before a contract or performance of an agreement. Responding to other business enquiries, maintaining relevant records and protecting the website may involve legitimate interests, subject to the rights and safeguards required by the applicable law. Legal obligations may require particular records or disclosures. The data-use acknowledgement explains the enquiry process; it is not blanket consent to unrelated processing.
Storage and access
Successful form submissions are stored in a private WordPress enquiry queue restricted to administrators. A receipt reference is displayed after the record is saved. The notification to info@eqrmcert.com contains a reference and an authenticated administration link; the complete message remains in the queue. Email failure does not remove the saved enquiry.
Website hosting, email and backup services process information needed to operate these functions. Access or disclosure may also be necessary to handle the relevant certification matter or meet an applicable legal obligation. Do not assume that public website access makes private enquiry records public.
Certificate verification
A certificate-number search is used to retrieve the matching public certification record. Published fields may include the certified organization, standards, scope, certified site address, status, issue and expiry dates, surveillance information and report reference where supplied. These are certification record details, not a directory of private enquiry submissions. Requests to correct a public record should include the certificate number and the discrepancy.
Technical records and browser storage
Hosting and security systems may generate technical logs such as IP address, request, time and browser details. The enquiry and verification tools use temporary, salted connection identifiers to limit repeated requests; raw IP addresses are not stored in the enquiry record by the enquiry plugin. Retention
There is no automatic enquiry-age deletion rule in the current queue. Administrators review and remove records when they are no longer needed. Retention depends on the request, continuing correspondence, any resulting engagement, complaints or disputes, and applicable recordkeeping obligations. Deleted data may remain in restricted backups until those backups are replaced or removed. Contact EQRM to discuss retention or deletion of a specific record.
International handling and your rights
Enquiries may concern organizations in different countries. Hosting, email services and those handling a certification matter may operate in a different jurisdiction from yours. Contact EQRM for information relevant to your enquiry and any safeguards required for a particular transfer; this notice does not claim that data remains in a specified country.
Depending on the law and circumstances, you may have rights to request access, correction, deletion, restriction, portability or to object to processing, and to complain to a relevant data-protection authority. Some records may need to be retained for a lawful reason. EQRM may need to verify your identity before releasing or changing information. Send requests to info@eqrmcert.com, including your enquiry reference if available, without sending unnecessary identity documents initially.

This notice describes the website functions reviewed on 1 October 2026. Additional engagement-specific information may be provided when a certification application proceeds. Changes to tools or information handling should be reflected in this notice.
