Start with the organization’s activities
An environmental system is easier to understand when it follows actual work. Describe where materials enter the operation, how activities are controlled and what outputs or impacts need attention. Include relevant supplier and contractor interfaces rather than treating the organization as isolated from its operating relationships.
For an office service provider, the questions may differ from those for a production site. Copying another organization’s list of aspects can create the appearance of completeness without explaining the applicant’s own context.
Connect information with decisions
If the organization identifies a significant issue, ask what follows from that decision. Who is responsible? What controls or objectives are appropriate? What information is used to evaluate the result? A register is useful when it supports those questions, not merely when every row has been filled in.
For example, recording waste quantities may be informative, but the organization should also understand what the data tells it and what action is appropriate. This is an illustrative management question, not a claim that a particular metric is mandatory for every applicant.
Review responsibilities across boundaries
Shared buildings, outsourced transport and contracted services can create misunderstandings about who controls what. Explain the applicant’s role and the relevant interfaces. A landlord’s policy or a supplier’s certificate should not be assumed to describe all the applicant’s responsibilities.
When preparing a certification enquiry, identify the sites and activities to be included and any limits on control or access to information.
Treat edition review as evidence-based work
If an existing system is being reviewed against the 2026 edition, use an authorized copy of the requirements and document the conclusions relevant to that system. Do not rely on a generic statement that “everything has changed” or “nothing needs to change.” The answer depends on both the actual requirements and the current arrangements.
Confirm transition and assessment arrangements with the certification body. A standard publication date is not a universal statement about every existing certificate’s expiry.
What certification should not imply
An environmental management system certificate does not declare that an organization has no environmental impact, make a product carbon neutral, or replace specific legal or regulatory approvals. Describe the system and scope accurately so readers can distinguish it from other environmental claims.

Provide the activities and site list, relevant outsourced operations, existing certification and the edition you are working with. If a customer requires a particular certificate or accreditation condition, include that requirement explicitly.

Select an activity relevant to your operation, such as material handling or a contracted waste service. Trace the identified aspect, responsibility, operational arrangement, monitoring information and management response. Look for missing handovers between these points. This provides a practical way to evaluate whether an environmental register influences decisions rather than merely describing the organization.
